Senior Administrative Assistant

Palo Alto, CA

Remote and eventually on campus (January at least) 

$30-$35 an hour


OPTION 1 STAFFING is currently recruiting for a Sr. Administrative Assistant to support the Executive Director of a large department at Stanford University.  The AA is the Executive Director’s gatekeeper and will make decisions regarding his calendar and time. This requires problem-solving skills so that critical deadlines are met, and conflicts are resolved before becoming an issue. The AA will independently and with sound judgment analyze and prioritize the Director’s time. This requires strong decision-making skills to establish the importance of the request and availability on his schedule based on other commitments. The AA will read, research, and analyze correspondence to establish what requires the Executive Director’s attention and what can be routed to another area. The AA welcomes customers electronically, via phone and at events to assure all stakeholders have their question answered or are directed to the appropriate resource.  This is a contract to Hire

  • The AA should have an excellent command of the English language in order to compose, proofread and edit a variety of electronic and print materials. This includes drafting e-mail and other communications for the Executive Director, as well as creating tables, figures and other supporting documentation for presentations. The AA must research and pull together information for events based on the audience and the specification the Executive Director has outlined.
  • The AA will support planning and arranging travel including initial booking, changes, and monitoring of scheduled travel. Must proactively update for cancellations or additional needs as they arise.
  • Maintains office supply inventory by managing inventory levels, and anticipating upcoming need for supplies. The AA will evaluate new office products, place and expedite orders for supplies, and verify receipt.
  • The AA will provide support around all administrative aspects of the Executive Director’s role. This may include review of time and leave, and communication and assignment of tasks to other administrative associates in the unit as well as other HR related support.

Candidate should have the following:

  • 2 years min experience supporting senior people (professors, office manager support, etc.)
  • Recent college grad (BS plus 1-year experience acceptable OR Associates with at least 2 years experience)
  • MUST be tech-savvy especially with MS Office and have exposure to Google platform
  • Very fast-paced environment so you must be able to thrive in that environment
  • The position will be remote until at least January but eventually will be on campus
