OPTION 1 STAFFING is currently recruiting for a Office Manager for a medium size company. The successful candidate will be the first interaction point when clients and our partners contact us. You will strive to create a welcoming environment. You will be responsible for the efficient and effective management of the workflow of the entire office and recommend improvements to our processes. As a central role in the organization, you will be responsible for day-to-day coordination of the office and assuring all scheduling, calendars and appointments happen in a timely manner.
Responsibilities:
· Manage executives’ schedules, calendars and appointments
· Organize and schedule meetings and appointments
· Coordinate travel plans, itineraries, and manage bookings
Clients:
· Work with Principals to manage potential client care and in preparation of proposals and contracts
· Address customer inquiries and complaints
· Provide general support to visitors
. Keep CRM system maintained & updated at all times
. Work closely with Marketing to ensure leads are dealt with as a priority
Office:
· Partner with HR to maintain office policies
· Manage the relationship with the landlord to ensure the office is maintained properly
· Direct orientation of new staff members
· Monitor and maintain office supplies inventory
· Manage office communications – phone calls, emails, and traditional mail
· Take initiative to solve problems independently and creatively
· Multitask and demonstrate the ability to complete a variety of duties without letting anything fall through the cracks
· Document and act as needed on key details as multiple people make verbal, hand-written, and emailed requests throughout the day
· Keep the office organized
· Be the go-to person for maintenance, mailing, shipping, supplies and errands
Morale:
· Participate in the planning and execution of company events
· Coordinate office staff activities to ensure maximum efficiency
· Maintain a safe and secure working environment
Requirements
· Warm personality with strong written and verbal communication skills
· Proficiency in Google Suite, MS Word and Excel, and other office applications
· Ability to multi-task
· Previous relevant experience in office administration and/or customer-facing roles
· Ability to work independently and prioritize projects with a short deadline.
· High School Diploma or GED equivalent
