OPTION 1 STAFFING is currently recruiting for an experience Executive Assistant to support the Chief Executive Officer.

Under the supervision of the Executive Director/CEO, provides support for the CEO and senior leadership team. Responsibilities will include: scheduling meetings, calendar management, board minutes, preparing reports, drafting memos, web research, monitoring and preparing rental agreements and general administrative tasks.

  • Answer and direct all incoming visitors and calls for the EA office
  • Type routine letters, reports, memoranda, time sheets, forms, etc.
  • All office records management; may deliver and pick up records, files and reports; may expedite paperwork flow; may sort mail and maintain office files. Order office supplies.
  • Work independently on designated projects with a high level of professionalism within various departments as assigned.
  • Maintain strict levels of confidentiality with highly sensitive material.
  • Managing CEO calendar with internal and external customers,
  • Support meetings by facilitating video conferencing, food or other needs
  • Drafting correspondence for CEO and senior leaders.
  • Attend and take minutes at management meetings
  • Coordinating conference registrations and travel for CEO and Board of Directors, and other senior leaders as needed
  • Handle CEO expense accounting
  • Create PowerPoint presentations
  • Attend and take minutes of board meetings as required (typically monthly, in the evenings); committee meetings as appropriate
  • Maintain complete and accurate records of all board and committee meetings as well as biographical and service information about all board members
  • Perform other related duties as required

Qualifications

  • Minimum Basic Knowledge & Experience:
  • Minimum of 5 years of experience as an Executive Assistant to an Executive Director and/or CEO.
  • Must have excellent, written and verbal communication skills.
  • Solid experience in all Microsoft Office applications, including Outlook, Word, Excel & PowerPoint
  • Excellent organizational and time management skills and ability to multi-task and prioritize work.
  • Able to exercise discretion and sound judgment; knowing when to escalate urgent issues to CEO
  • The successful candidate must have a strong work ethic, excellent communication and interpersonal skills and a commitment to quality and excellence.
  • Ability to multi-talk and prioritize is a must.
