OPTION 1 Staffing is currently recruiting for an Administrative Assistant for a long term contract with an awesome company located in San Jose, CA. You will work independently, exercising one’s own judgment on a regular basis, providing administrative assistance at a high degree of diversity and complexity, assisting in providing support for the VP-Shared Services and multiple VP/director reports. Must maintain a high level of confidentiality.

  • Perform administrative functions such as making travel arrangements, coordinating activities and meetings, and preparing expense reports and processing invoices. Maintains executive calendar, arranges appointments, contacts personnel, and coordinates meetings.
  • Answer telephone and exchange routine information; properly routing calls and taking messages. Screens telephone callers, determining who can be directed to other personnel. Provides callers with information that requires a comprehensive knowledge of company policies, practices and operations. Independently responds to inquiries, verbally or in writing. Frequent contact with company executives and with executive personnel outside of company.
  • Perform routine clerical duties, such as sorting, filing, distributing mail, making copies, and mailing routine form letters. Opens and reviews all incoming mail. Screens, sorts mail; forwards to appropriate area; responds to routine inquiries. Organizes and maintains executive files; often of major importance to the company. Prioritizes work to meet deadlines with minimal guidance as to established times. Orders supplies for department.
  • Responsible for assistance with or execution of special projects, as requested, managing deadlines and requirements to keep the project on track.

All other duties as assigned.

Qualifications: Associate’s degree plus a minimum of 3-5 years experience in administrative or office position, including experience with office administrative procedures, use and operation of standard office equipment. Previous experience with variety of computer software applications in word processing, spreadsheets, database and presentation software (Word, Excel, and PowerPoint). Previous experience with PeopleSoft.

  • Ability to communicate clearly and effectively in both verbal and written communication
  • High level of interpersonal skills to handle sensitive and confidential situations. Position requires demonstrated poise, tact and diplomacy
  • Excellent organizational skills
  • Excel and PowerPoint
  • Attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Ability to prioritize and handle multiple tasks simultaneously
  • Basic math skills including addition, subtraction, multiplication, division, fractions and percentages
  • Above average writing skills are preferred.
  • Must handle inquiries, requests and present information in a professional manner.
